CODE OF CONDUCT (Working methodology)

WORKING HOURS:

Office timing: 9.00 am – 7.00 pm

Lunch Break: 30 Minutes between the hours of 1.00 pm to 3.00 pm

In case, you are unable to report to work, please inform your direct managers before 8:30 am that day. This should be supported with an email/phone.

Post arrival; 9.15 am (Grace time) will be considered as late mark and attending office post 2 hours, i.e. after 11 pm will be Half-day present. Unless it’s an exceptional circumstance, or previously agreed with your Manager and the Manager should inform the HR Dept.

Late coming for more than 5 times in a month will be considered as one (1) day loss of pay and number crossing the approved limit of 5 times will be calculated on pro-data basis. Please note that such lack of adherence to company’s policy, will also effect in the appraisal process as well.

The Company may alter the employees’ ordinary hours of work due to business exigencies.

 

Considering the fact that, we part of the service industry and plays a significant role in the market. Whilst, every employee is treated as integral part of the business, hence, it is implied to be part of the business operations and deliver according to the Business/Customers’ need, which is 24/7. However, the working hours of the Company is 9 am to 7 pm on all working days.

 

Customer Facing & Operations Associates:

The hours of work will be determined by the customer’s operational requirements.

Lunch Break: 30 minutes between the hours of 12 noon and 2.00pm

Employees may be required to alter their time schedules/work additional hours/work on off days if the Company requires.

The Company may alter the employees’ ordinary hours of work due to business exigencies.

PERSONAL DETAILS

Employees are responsible for ensuring that HR has up to date personal details about themselves. Employees are required to notify HR immediately - if there are any changes to personal details or circumstances. Examples of personal information that must be maintained on record are the following:

Permanent and current address

Mobile & landline numbers

Person to call in case of emergency

Number and names of dependants

Marital status

Bank Account

Pan Card No

All types of Nomination forms

Other details as required on Portal

Coverage or benefits that an employee may receive under VINSUM India's benefits package could be negatively affected if the information in personal file is incorrect.

Since VINSUM India refers to an employee’s personal file when the Company is making decisions in connection with promotions, transfers or other position changes; it is important that personal file includes information about completion of education and/or training courses, outside civic activities, and areas of interest and skills that may be part of employees current position.

 

IDENTIFICATION CARD

All employees will be issued with identity cards/tags.  All employees are required to carry their identity cards/tags at all times when they are within the premises of the company.

OCCUPATIONAL HEALTH AND SAFETY

The company requires that you report any illness or injury on the job, no matter how slight.  If you hurt yourself or become ill, please contact your direct manager of HR department for assistance. Work locations have first aid kits for minor emergencies.

 

 DOCUMENT MANAGEMENT

All correspondence, documents, papers and other information whether oral, written or recorded in any form related to the business or affairs of the Company or of its clients must be kept strictly confidential and secured. 

 

NON-DISCRIMINATION

At VINSUM we are committed to ensuring a workplace free of discrimination and harassment.  It is acknowledged however, that things do not always go smoothly and that grievances can arise. An employee may have a grievance about any decision, behaviour, act or omission (whether by management or other staff) that they feel is unfair, discriminatory or unjustified.

The purpose of this policy is to provide procedures and guidelines where grievances can be addressed. Some of these grievances may relate to behaviour which is unlawful and against company policy, such as harassment or discrimination.

 

SEXUAL HARASSMENT AT THE WORKPLACE

The definition of sexual harassment includes any unwelcome sexually determined behaviour (whether directly or by implication) such as physical contact and advances, demand or request for sexual favours, sexually coloured remarks, showing pornography, or any other unwelcome physical verbal or non-verbal conduct of sexual nature.

If you feel that you are being harassed or discriminated against, or if you are upset, concerned or angry about anything at work, this grievance handling procedure is available to you so that things can be sorted.

 

CONDITION FOR TERMINATION

All Employees would not undertake any job offer or employment or any same service appointment or found involved in any other business directly or indirectly from any of the company clients during the term of your engagement / employment with the company. It shall result in termination from the employment of VINSUM India. In addition, any practice which would be breach to the Company’s policy, would attract disciplinary/termination action.

DESPRECT TO SENIORS.

Any kind of in-subordination would be treated very seriously and actions would be initiated accordingly in consultation with HOD/ED/CMD, as case applicable.

 

ZERO INTOXICATION DURING OFFICE HOURS

The VINSUM Work stations are a no smoking zone. VINSUM employees should refrain from chewing of Gutka/Pan Masala/Drinking Alcohol during the office hours. Employees should be contacted after office hours in case of urgency only.

 

APPEARANCE AND DRESS CODE

All employees shall ensure that they are appropriately dressed in attire that is suitable to a professional company, during office hours.

Employees can have smart casual outfits, while attending office work at HO and it is mandatory to have proper dress code during Client’s visit or at Customer site. 

Employees must always be conscious of the fact that they are representatives of the company whether they are in the office or at a client’s premises.

Investigation and Grievance Handling Policy

Depending upon the gravity of the mis-conduct, investigation and procedure will be implemented in order to have optimum level of satisfaction and appropriate outcome to prevailing situation.

Clean Desk Policy

All staffs are expected to keep their workstations neat and tidy. All sensitive Information and personal belongings should be locked in your drawer.

IT equipment care

Staff should take good care of IT equipment provided by the company such as Laptop, Accessories, headsets, speaker/desk phones, PCs, Printers, Projector etc.

Information Security

Employees and other authorized users of VINSUM India electronic communications tools and information systems are expected to protect the security and confidentiality of VINSUM India information. Every user is responsible for guarding against misuse or disclosure of these assets. The following guidelines should be followed:

Label all confidential documents (including scanned and email messages) as "VINSUM India -Confidential".

Use individualized passwords known only to the employee.

Use privacy features -password-protected screensavers, keyboard lock.

At the end of every day shut down or use a password-protected screensaver.

Avoid discussing confidential business information when using any non-secured technology. If you have questions about the security of a particular communication tool, please contact IT dept.

Use VINSUM India security policies and practices when accessing VINSUM India Systems from non-VINSUM India Workstations (e.g. home computers, Airport or Hotel Business centers, internet cafe)- don't leave the station unattended, close browser, and if possible restart computer after use, remove any VINSUM India Information from Non-VINSUM India systems.

 Safety First  

As a part of our commitment to SAFETY FIRST, please have adherence to below:

 The visitor card must be worn at all times and returned upon departure.

Smoking is not permitted at the work station.

Obey all safety signs and directions of the company representatives you are visiting.

In case of an evacuation, follow the instructions of company representative or the safety officer.

Safety protective equipment must be worn in work station.

If you are to work on any equipment follow the procedure as guided by your host.

Any waste generated must be put in designated waste bins.

Photography is strictly prohibited.
